Import an order

Paste a ACE-PNG-ORDER block from a school's WhatsApp message. The license code inside is checked against the platform key — a genuine code proves which school sent it. This is the standard — and only — ordering channel for schools; anything else is a special request below.

Special request (outside the management app)

The standard channel is the school's management app. A special request is the exception — phoned in, ordered outside what the app calculates — and only the administrator records one.

Landed cost & price position

The number the whole strategy stands on: what a genuine PACE truly costs landed at Pangia, against what the photocopy sells for. Costs come from the Receiving tab (Add landed costs on each shipment). Win the market on this line and the piracy dies without a court date.

Extras catalog

Every item marked as a catalog extra, in the block schools import into their management app. Send it by WhatsApp when the catalog changes — schools then browse and add extras to their normal orders.

Hub sync is not yet connected on this copy. When the hub goes live, orders arrive here automatically from school apps and dispatch status flows back — per the hub specification. Until then, WhatsApp import above is the order channel.

Everyone paid by ACE-PNG the entity \u2014 tagged by function so payroll cost reads by operation. School staff stay in the school application; this list is the entity's employees only.

Pay run

Semi-monthly (24 periods a year), matching the school application's payroll. SWT is computed on PNG resident brackets (K20,000/yr tax-free); Nasfund at employee 6% / employer 8.4% \u2014 the employer share is budgeted, not deducted. Adjustments and advances are entered per employee before committing. A committed run is permanent and feeds the Monthly Summary.

Monthly operating summary

The one-page answer to "is ACE-PNG making money this month." Payroll and expenses fill themselves from committed runs and the register; revenue and cost-of-goods are entered for the month \u2014 warehouse revenue can be pulled from a warehouse backup file. This is a management view, not books of record: the registered entity's formal accounts live with its bookkeeper.

Governance

Every ruling this office makes — flags approved with reasons, declarations decided, submissions received — in one printable report. Who moderates the moderator: this file does, and anyone can read it.

What the flags mean

CHAIN BROKEN — the school's sealed record fails verification: events were edited or removed. Treat as serious until explained. DISCONTINUITY — this submission does not continue the last one: the history was rewritten between exports. Serious. velocity — students completing PACEs faster than plausible (norm ≈ 6/month; flagged past 12 sustained). burst — large batches of scores entered on single days: term's work typed in an afternoon. backfill — old quarters' scores entered just before the export: records created for the submission, not during the year. scores — averages and spreads too good to be true (mean ≥ 93 with almost no variation, or most scores ≥ 96). supply — more High School PACEs completed than the school has purchased through the warehouse: the photocopy signal. corrections — an unusual rate of removed entries. NEVER SUBMITTED — licensed but no quarterly return received; every licensed school must return quarterly, pathway students or not — and receives its app updates through the same channel. SUBMISSION OVERDUE — more than a quarter since the last return. UNTRAINED PATHWAY SCHOOL — a school with pathway students but no fully trained supervisor and administrator on the national registry; pathway standing requires both, so this school heads the training schedule. no certified supervisor — no training certificate matched to this pathway school (loaded from the Events Portal); direct the next training intake here. declaration pending — the school has declared PACEs received outside the warehouse (e.g. donated from the US) and it awaits your decision; approving it feeds the supply check. Any flag can be marked Explained & approve after discussion with the school — the explanation is recorded, the flag turns green, and it stops counting toward risk. Reopen it any time.

Import a moderation report

Paste the school's ACE-PNG-MODERATION export, or load the file. The license identifies the school; the chain is re-verified hash by hash; and the submission must continue the previous one.

License register — the full school list

Load the register from the License Manager (Export register). Every licensed school then appears on the dashboard whether it has ever submitted or not — a licensed school that stays silent is the one to look at, and without this list it would be invisible. NEVER SUBMITTED and SUBMISSION OVERDUE flags come from here.

Training registry data

Load the registry file from the Events Portal (National Registry → Export registry file). Each pathway school is then checked for a fully trained supervisor AND administrator — the requirement for university and certificate pathway schools. A pathway school failing it gets a serious flag, not a soft one: there is no adequate route to university without trained staff. Training certificates (TRN) from the events backup and hand-added supervisors remain as fallbacks.

Warehouse cross-check data

Load the warehouse backup file (Settings → Backup → Export in the warehouse app). Every school's High School completions are then checked against the PACEs they actually purchased — the supply flag comes from here.

The eight official South Pacific categories are loaded with the published age divisions, safety exclusions and qualifying standards. The seed list is a working subset of the 140+ events — transcribe the rest from the official South Pacific A.C.E. Student Convention Guidelines, then export the rules file so every convention uses the same rulebook. Ages run from over 10 to under 20; the entries-per-student cap is set per convention.

The training log shows sessions attended. When a trainee meets the completion requirement (set on the event), issue their numbered certificate — the number comes from the register and the certificate is printed for hard-copy signing. Numbers are never reused.

Import a school's training report

Schools export the report from Settings → University Pathway → Export staff training report, quarterly with the moderation report. The license verifies the school; every staff member gets a national ID (STF-#####) that follows them between schools — when a supervisor appears at a new school, the registry records the transfer instead of creating a stranger.

Certificate register

Every certificate ever issued, in number order — the permanent record behind the hard copies. A certificate can be reprinted (same number, marked REPRINT) but a number is never issued twice.

Status tiers & discounts — fully configurable

Define the tiers a school can earn from its self-assessment and the PACE discount each carries. These are policy, not code — change them any time; existing approvals keep the tier they were granted.

Every licensed school for the chosen year — received, reviewed, approved, or still to chase (due 31 October). Schools come from the license register plus anyone who has submitted.

Candidates arrive per student, as they finish. Each is verified against the school's sealed quarterly returns, then the Certificate Request Report goes to SCEE; the certificate comes back, and the student enrols in NOAS. Every step is stamped on the register.

Accounts

One sign-in for the whole Front Office. The Director sees every desk including Licenses. The Accountant sees Warehouse and Office money. Warehouse staff see the warehouse without money. The Representative sees the field desk.

Front Office Cloud — every desk on every office device

One small Firebase project (like each school's) keeps the office laptop and the warehouse tablet on the same records — warehouse, money, moderation, mail, everything. Paste the config snippet once per device, sign in, and the desks stay in step whenever there's signal; offline, everything keeps working and catches up later. Sign-ins here are cloud accounts (email + password) — separate from the PIN accounts above, which control what each person sees inside the app.

One file carries every desk on this computer — warehouse, office, and these settings. Export weekly. Importing restores all desks at once; each desk's own backup buttons still work for that desk alone.
